Database Manager

Position Description:

 The Database Manager maintains donor records and tracks activity & communications for the overall operation of the Circus Arts Conservatory (CAC) including Resource Development, Events, Families of Students and Volunteers.

The Database Manager’s main fundraising functions include: prospect and donor base management; gift processing and accounting; donor acknowledgement and stewardship; direct mail and digital appeals; special events; and corporate support.

Major Duties & Responsibilities:

  1. Responsible for the collection and maintenance of all donor and prospect information in the database, including supervision of all gift entries to ensure accuracy.
  2. Ensures timely and accurate gift processing, accounting and donor acknowledgement and stewardship programs.
  3. Prepares weekly, monthly and annual reports on all gift activities. Prepares lists of select data as requested by other departments.
  4. Manages direct mail programs and interfaces with digital solicitation and marketing efforts.
  5. Coordinates all special event fundraising activities.
  6. Assists in special cultivation events.
  7. Acts as liaison with the accounting department.
  8. Other duties as assigned.

Qualifications

Bachelor’s degree. Positive, flexible, team-spirited work attitude. Minimum two years CRM data experience, Salesforce/Patron Manager a plus. Proficient in MSOffice, Excel word-processing and spreadsheet software. Strong written and personal communication skills. Good organizational ability and interpersonal skills. Salary range $45,000 – $60,000 commensurate with experience; full time with benefits.

Special Events Manager

CAC’s Special Events Manager is responsible for the strategic planning and coordination for all fundraising and development events; assists and coordinates logistics for other departments’ events; works with CAC operations to manage outside group events at performances and venue rentals; and serves as the overall point person for all events that take place within the organization.

The ideal candidate will have at least five years of Development and Special Events experience. Preference will be given to candidates who have superior writing skills, an outgoing/friendly personality, ability to manage multiple projects with competing deadlines, exhibit strength under pressure, and are able to work with multiple personality types with varying experience. Preferred skills include fundraising for the arts and experience with coordinating donor committees. Must be flexible in working long, weekend, and nighttime hours.

Responsibilities (not limited to)

  • In collaboration with CAC Management – Plan, Organize, and Execute all fundraising, donor cultivation, stewardship and special events.
  • Prepare financial analysis fundraising reports of events for staff and board.
  • Coordinate committee members for fundraising, donor cultivation, and stewardship events.
  • Work with the volunteer committee to plan and execute signature Gala under the big top.

Executive Assistant

The Circus Arts Conservatory is currently searching for a proactive and extremely detail-oriented Executive Assistant with exceptional interpersonal skills, strong speaking and writing skills and possesses a virtuous work ethic. The Executive Assistant serves as the primary point of contact for internal and external constituencies on matters pertaining to the Executive Management Team (COO & Founders).  

The ideal candidate must have a high level of professionalism and hold themselves to a high standard of conduct, sometimes with matters of extreme confidentiality and sensitivity. The Executive Assistant will exert independent judgment to complete projects and initiatives from concept to completion and must be able to work well under pressure and at times handle a wide variety of activities.

Responsibilities (not limited to)

  • Assist the Executive Management Team in timely management of communications, including written, telephone, email, and voicemail.
  • Compose and edit letters, documents, emails, proposals and ensure follow up with those that require answers, responses, and written replies.
  • At times, assist in the management and organization of the Executive team’s calendar by scheduling appointments, meetings, engagements, and daily activities
  • Coordinate onsite meetings, luncheons, coffees, in-house tours & events, travel arrangements as necessary.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed including those sensitive or confidential and at times, personal in nature. 
  • At times, may appropriately communicate course of action, referral, or response to situations
  • Prioritizes conflicting needs & handles matters expeditiously, proactively, and follows-through on projects to successful completion.

Qualifications

  • Must be a consummate professional who is proactive and an independent self-starter
  • Extraordinarily strong interpersonal skills and the ability to build positive relationships with stakeholders: including staff, colleagues, volunteers, patrons, vendors, donors, board members & leadership across all organizational levels
  • Proven ability to handle confidential information with discretions, be adaptable to various competing demands. 
  • Demonstrate proactive approaches to problem-solving with ability to support decision-making at all levels
  • Highly resourceful and organized team-player with the ability to be extremely effective independently

Part-Time (20-30 hours per week), Pay commensurate with experience
